Our platform consists of three powerful applications:
- ReformeerFor members to access church news, events, community services, online donations, and Reformed Intelligence theological research
- Office (Kantoor)Professional administrative software for church leaders to manage members, plan events, and analyze statistics
- Finance (Finansies)Comprehensive financial management for churches, including budgeting, expense tracking, and reporting
These terms apply to churches subscribing to Reformeer. By using Reformeer, you agree to them.
Reformeer App
Reformed Intelligence and member community hub. Members who need higher Reformed Intelligence rate limits upgrade to R149/month.
Admin System
Office + Finance — member registers, pastoral care, and church accounting.
Payment Method
All payments are securely processed by Paystack, our registered payment provider. We accept the following payment methods:
Automatic Renewal
Auto-renews monthly until cancelled. We email a reminder a week before each renewal.
Please note: If a payment fails, access is suspended until payment is received. We notify you by email.
Your council activates a subscription for Office. Individual members use the platform free:

How to Cancel:
Effect of Cancellation
- Your subscription will be cancelled immediately and will not renew again
- You will retain access to the platform until the end of your current paid period
- You will receive a confirmation email of the cancellation
- Upon cancellation, Reformeer will permanently delete or irreparably anonymize all Customer data within 30 days, in accordance with POPIA data destruction requirements, unless legally required to retain it.

Managed by Paystack
Cancellation, resumption, and payment-method updates are handled by Paystack. You have full control; your information stays private.
General Policy
Monthly fees are non-refundable once processed. On cancellation, access continues to the end of the paid period.
Exceptions
Refunds may be considered in the following circumstances:
To request a refund, visit our support page and submit a detailed request. We will evaluate each case individually.
Processing Time
Approved refunds process within 7–10 business days, to the original payment method.

Conditions
This commitment is subject to the following conditions:
- Timely payment of subscription fees (payments must be successfully processed each month)
- Compliance with these terms and conditions
- No misuse or illegal use of the platform
Scheduled Maintenance
We may schedule maintenance downtime, with at least 24 hours' notice. Usually outside peak hours.
We protect your personal information and comply with POPIA.
1. What data we collect
We collect the following personal information to provide our services:
- Name and Surname
- Email address
- Phone number
- IP address and device information
- Church affiliation and role
- Billing information (processed by Paystack)
2. Why we collect it
We process your data for the following specific purposes:
- To provide access to the Reformeer, Office (Kantoor), and Finance (Finansies) applications
- To manage your church membership and roles
- To process subscription payments and billing
- To communicate important service updates and support
- To ensure the security and integrity of our platform
3. Is it voluntary?
Name, email, and church affiliation are mandatory to create an account. Without them we cannot provide the service.
4. Data Transfer and Storage
Stored on Google Cloud Platform. Servers may sit internationally (Europe/US) with appropriate safeguards.
Paystack (South Africa) handles payment processing. We don't store full card details.
Your Rights: You can request access, correction, or deletion of your personal data. Contact support.
5. Security and Access Control
Strict POPIA "Least Privilege" — only office bearers who need the data to do their duty have access.
- Council Isolation: Your church's data is strictly isolated. No other church council can access your data.
- Roles: Access within your church is determined by specific roles (e.g., Administrator, Pastor, Elder, Deacon). For example, sensitive pastoral notes are only accessible to specific office bearers.
Detailed audit trails so changes can be traced over time.
- Operator Status: Google Cloud is our trusted "Operator" for storage and processing under POPIA.
- Compliance Agreements: We've accepted Google's Cloud Data Processing Addendum (CDPA), aligning security and privacy commitments with POPIA.
- Data location: Data may sit on Google's servers internationally (US or Europe). POPIA permits the transfer because Google is bound by GDPR and CDPA — substantially similar protection to South African law.
6. Use of Sub-Operators
The Customer authorises Reformeer to engage sub-operators (Google Cloud for infrastructure, Paystack for payments). All sub-operators are bound by written agreements with data-protection obligations no less stringent than POPIA.
Generic Import Tools
Generic, technology-agnostic import tools for CSV, Excel, and similar formats.Reformeer is not affiliated with, endorsed by, or connected to any other church management software vendors.
1. Warrant of Authority for Data
By using Data Import, the Customer warrants that:
- You are the lawful owner of the data being imported.
- You have the legal right to extract this data from your previous service provider.
- The extraction and upload of this data does not breach any third-party Terms of Service, Copyright, or Database Rights.
- You assume full legal responsibility for the method used to extract the data from any third-party system.
2. Use of Artificial Intelligence (AI)
AI helps map data columns probabilistically (e.g., "Doop" → "Baptism").
Technical Disclaimer: AI suggestions come from semantic analysis of the files you upload. They don't contain reverse-engineered code, schemas, or proprietary database structures from any third-party vendor.
Model Training Warranty
Reformeer acts strictly as Operator. Customer data — including Special Personal Information — is siloed and never used to train, fine-tune, or improve Reformeer's foundational AI models or shared analytics.
1. POPIA Roles and Responsibilities
- The Parties: Under POPIA the Customer (Church) is the "Responsible Party" and Reformeer is the "Operator."
- Customer Responsibility: The Customer retains full authority and responsibility for all Personal Information (including Special Personal Information on religious beliefs and pastoral matters) on the Platform, and warrants it has obtained the necessary member consents.
2. User Security Obligations
Credential Security: The Customer and its authorised users are solely responsible for keeping login credentials confidential. Activity under a user account is the Customer's responsibility.
- • Unattended or unlocked devices
- • Shared passwords or accounts
- • Malware or spyware on Customer devices
- • Verbal/physical disclosure by users
3. Limitation of Liability
- Exclusion of Damages: To the maximum extent permitted by South African law, Reformeer is not liable for indirect, incidental, special, or consequential damages — including loss of dignity, reputation, or spiritual standing — from use or inability to use the Service.
- Negligence: Reformeer disclaims liability for any breach, leak, or unauthorised disclosure caused in whole or part by the Customer or its authorised users.
- Liability Cap: Reformeer's total liability is capped at subscription fees paid in the preceding 12 months.
4. Indemnification
The Customer indemnifies Reformeer and its officers, directors, and employees against claims, damages, and expenses (including legal fees) arising from:
- The Customer's violation of POPIA or any other applicable privacy laws;
- The unauthorized disclosure of Special Personal Information by an elder, employee, or agent of the Customer;
- Any claim by a data subject (church member) regarding the handling of their spiritual or personal information by the Customer; or
- Any claim by a third party alleging copyright infringement, database right infringement, or breach of contract arising from the Customer's extraction, export, or migration of data to Reformeer.
We may modify these terms from time to time. We'll email 30 days before material changes take effect.
Continuing to use the platform after changes means you agree. Otherwise cancel per Section 4.
The "Effective Date" at the top of this page indicates when these terms were last updated.
Governed by the laws of South Africa. Disputes fall under the exclusive jurisdiction of South African courts.
